Aevolve WhatsApp

Your ads bring the enquiries. We run the follow-up through to the attended consultation.

For hair transplant, skin, laser and aesthetic clinics in India that already get patient enquiries from Meta or Google ads. Each enquiry gets a reply, a fixed follow-up sequence, a named owner at your clinic, and a place in the weekly count of who booked and who came in.

Messages sent on a working day get a reply that day. Message in English, Hindi or Hinglish.

Green is a message the system sends. Dark is a person. Timings are examples, not to scale, and are set per clinic.

Built from broader automation experience. Now focused on clinics.

Aevolve builds AI, automation and operational systems for businesses internationally. We are now applying that experience to one specific problem inside Indian hair, skin and aesthetic clinics: what happens between a paid patient enquiry and an attended consultation.

The clinic-specific implementation is new, which is why the initial deployments are being handled directly by Vedant rather than delegated to a larger delivery team.

Where the count usually stops.

Your agency reports how many enquiries the ads produced. Your accounts show who started treatment. Between those two numbers sit three stages, contacted, booked and attended, and those are the part we run.

  1. New enquiry

A lead form, a WhatsApp message or a call.

    Your ads
  2. Contacted

Someone from the clinic spoke or chatted with the patient. A missed call does not count.

    Aevolve
  3. Booked

A consultation date and time is confirmed with the patient.

    Aevolve
  4. Attended

    The patient came in.

    Aevolve
  5. Treatment started

The patient went ahead. The only stage that brings money in.

    Your doctors

There are no conversion numbers on this page because we don't have clinic data to quote yet. The first weeks on each clinic are a baseline of its own numbers.

Where enquiries usually get lost, and what we check in the first week.

These happen in well-run clinics too, because follow-up usually depends on someone remembering.

  1. Slow first reply

What we check in week one

Time from enquiry to first reply, by hour of the day. Evenings and weekends are usually the gap.

    What changes

An automated acknowledgement goes out within minutes at any hour, with the next step and a question the patient can answer.

  2. Follow-up stops after one attempt

What we check in week one

How many attempts an enquiry gets before it is marked closed, and who decides.

    What changes

A fixed sequence over several days. It stops when the patient replies, books or says stop.

  3. Nobody owns the enquiry

What we check in week one

Who is responsible for each open enquiry today, and whether the doctor, the front desk and the agency agree.

    What changes

Every enquiry has a named person at the clinic and a due time for the next action.

  4. Status lives in five places

What we check in week one

Where status is kept: personal WhatsApp, the clinic phone, a notebook, a spreadsheet, the agency dashboard.

    What changes

One list per clinic, updated by the front desk, visible to the owner.

  5. Reporting stops at "lead generated"

What we check in week one

What the agency reports each month and what the clinic counts on its side.

    What changes

A weekly count per source through to attended and treatment started, so ad spend can be compared with who came in.

What each person receives.

Three screens, one for each person involved. The data below is made up to show the format. The working version is set up per clinic, with your treatments, your staff and your numbers.

Week 36, 1 to 7 September. Made-up numbers.

Messages that can be templated are automated. Calls and anything a patient asks that needs a person go to your front desk as a task.

Ask how this would look for your clinic

How we start, and how we bill.

  1. 1

    Map the current path

Where enquiries arrive, who replies, where status lives today, what the agency reports. Usually the first week.

  2. 2

    Build and connect

Enquiry sources into one list, message sequences written for your treatments, staff tasks and statuses, the weekly report. Usually the second week.

  3. 3

Go live with your front desk

Training on the daily list and attendance marking, then the first real enquiries. Usually the third week.

  4. 4

    Run and report

Follow-ups monitored, message changes as your offers change, the weekly count per source, and a monthly review with the owner.

Initial clinic deployments are handled directly by Vedant.

What we do not promise
This is a commitment to deliver the system, not a promise of results. We do not guarantee revenue, patient numbers, consultations or a return on your ad spend.
Not included
Ad management, lead generation, medical advice in automated messages, bulk promotional messaging.

Questions you'll probably have.

If yours isn't here, ask it on WhatsApp.

Is this a chatbot or an AI receptionist?

No. It's a follow-up and tracking system for the enquiries you already get. Automated messages cover the first acknowledgement, the follow-up sequence and reminders. Anything that needs a person goes to your staff as a task with the details attached.

Do we need to change our receptionist or our agency?

No. Your receptionist gets a daily list of who to call and why. Your agency keeps running the ads and, if you want, gets attendance per campaign from us.

Which clinics is this for?

Hair transplant, skin, laser and aesthetic clinics in India that already get patient enquiries from Meta or Google ads. If you aren't running ads yet, there's nothing for the system to work on, so it won't be useful yet.

What do you need from us?

Access to the places enquiries arrive (lead forms, WhatsApp Business, call logs), one person who owns the front desk list, and about 30 minutes of the owner's time each week to go through the numbers.

What about patient data?

Enquiry data stays in accounts your clinic owns and controls. Before we start, we list every tool that touches it, who can read it, and what gets deleted if you stop. Automated messages never give medical advice, never go out in bulk, and stop when a patient says stop.

How do we start?

Message us on WhatsApp. We'll ask how many enquiries you get, where they come from and who handles them today. If it fits, we send a written scope and the first invoice. If it doesn't, we say so.

Already spending money generating patient enquiries?

Let's look at what happens after the lead arrives.

Messages sent on a working day get a reply that day. Working hours are Monday to Saturday, 10am to 8pm IST.

What happens after you message

  1. 1 Vedant replies and asks three questions: which treatments you advertise, where enquiries land today, and who replies to them.
  2. 2 If it fits, you get a written scope and the first invoice. If it doesn't, we say so and tell you what would need to change.
  3. 3 No call unless you want one. English, Hindi or Hinglish.
